If you contact us, we will retain and process the information you provide for the purpose of responding to your request and any subsequent inquiries. Data processing in this context is permitted by law (Article 6(1b) of Regulation (EU) 2016/679).

You can use all sections of our website to which access is not protected, without revealing your identity. Every use of our site is logged as standard usage to fix bugs and clarify security incidents. QUARTZ MATRIX SRL is registered with the National Authority for the Supervision of Personal Data Processing under number 27449.

According to the requirements of Law no. 677/2001 for the protection of individuals with regard to the processing of personal data and the free movement of such data, amended and supplemented QUARTZ MATRIX SRL has the obligation to manage in safe conditions and only for the specified purposes, the personal data that you provide us about you.

We only process your data when we have permission to do so. You can give us permission to process your data through explicit consent given on our website in relation to data processing.

We process your data because the law allows us to do so (Article 6(1b) of Regulation (EU) 2016/679) in the following cases:

  • place an order through our website or platform. In this case, we have permission to process your data in order to be able to fulfill the request;
  • make a request for quotation or request information about products and services on our website;
  • use services / applications on our website, which require the processing of your data (demo of existing software applications on our website).
  • we process your data when we have a legitimate interest in doing so. QUARTZ MATRIX SRL collects and processes your personal data for the following purposes:

  • Administering, improving, and performing the services provided through the QLEAP sites;
  • Commercial sales activities, including realization, administration, and development of sales, market research/studies, and statistics;

2.1. Data recorded in the log files (logs)

For technical reasons, every time your internet browser accesses our website, it will automatically send information to our internet server (i.e. data recorded in log files). We keep some of this information in log files, such as:

  • Date of access
  • Time of access
  • The URL of the party initiating the connection
  • Files accessed
  • The volume of data transferred
  • Browser type and version
  • The operating system
  • IP address (anonymized)

The data recorded in the log files do not include personal data. As a general rule, we only analyze the data recorded in the log files to fix errors in the operation of our website or to clarify security-related incidents. This data recorded in the log files is kept indefinitely.

Sometimes it is necessary to collect additional personal information, as well as data recorded in log files, to fix errors or preserve evidence related to security incidents. In these cases, we are allowed to process the data recorded in the log files according to the law (Article 6(1f) of Regulation (EU) 2016/679). This data will be deleted after the error has been fixed or the security incident has been fully clarified, or if the original purpose of the processing no longer exists due to other factors. In the event of a security incident, we will pass the data recorded in the log files to investigative authorities on a case-by-case basis, to the extent permitted.

We always keep the data recorded in the log files separately from other data collected in connection with the use of our website.

Our website offers the option to subscribe to the newsletter. Subscription to the newsletter is carried out if the owner of the email address has expressly confirmed the agreement to receive the newsletter in the online forms available on our website.

2.5. Online campaigns through Google AdWords

On this website, we use Google AdWords. Google AdWords is an Internet advertising service that allows the advertiser to place ads in the results of the Google search engine and in the Google advertising network. Google AdWords allows an advertiser to pre-define certain keywords with which an ad in Google search results is displayed when the user uses the search engine to receive a search result relevant to those keywords. In the Google Advertising Network, ads are distributed on relevant web pages using an automatic algorithm, taking into account previously defined keywords.

The purpose of the Google AdWords program is to promote our website by including relevant advertising on the websites of third parties and in the results of the Google search engine. If a data subject reaches our website via a Google ad, a conversion cookie is placed on the user’s information technology system via Google. The definition of cookies is explained above. A conversion cookie expires after 30 days and is not used to identify the data subject. Google remarketing services are integrated on this website. Therefore, the integration of Google Remarketing allows the company to create advertising based on the user’s interests and therefore to display relevant advertisements to Internet users interested in the products and services being marketed.

  1. Collection of personal data for the purpose of taking an exam in QLEAP Academy

This section of this Privacy Statement describes our policies and practices regarding our collection and use of your personal information when you register to take an exam at the QLEAP Academy.

Please read the information below very carefully to understand how we protect/process your data.

3.1. How we collect and use your personal data

  1. Information from the identity card: your identification data (identification number, address, number, and series of the identity card) is used strictly for issuing the invoice following the exam taken if the registration is done by Quartz Matrix.
  2. The images related to the video system, online – We use this data to carry out security checks, as well as with the aim of avoiding and preventing possible attempts to defraud the systems.
  3. Source of personal data – Personal data is provided by you by completing the questionnaire and registering for the desired exam, whether you do this directly with one of the providers or through Quartz Matrix.

3.2. To whom we disclose personal data

Quartz Matrix will not disclose your personal data to any third party except those involved in the testing and examination procedure.

3.3. Retention of personal data

Your personal data is kept from the moment you register for the exam until the exam is completed.

The invoice that will be issued and which includes data such as: identification number, home address, series, and a number of the identity card are stored according to the Financial Legislation in force under adequate safety and security conditions to prevent unauthorized access.

Quartz Matrix does not retain or store test results (score, pass, fail, etc.). Access to this data is completely restricted to Quartz Matrix personnel. Only the test providers can have access to these resources in order to resolve any disputes, complaints, or errors in the system.

The final result is stored in a online copy that is personally handed to the candidate upon exiting the test center.

 

  1. Collection of personal data for the purpose of recruitment for available positions in the QLEAP company

We collect and use data about you for the purpose of recruitment for available positions in the company Quartz Matrix.

4.1. Information from CV

We collect and use the information included in your CV/biography or information that is otherwise provided to us by you in this context, such as your full name, address, email address, phone number, previous employers, professional qualifications, recommendations, analysis of professional development and skills, training, regarding performance and adaptation to requirements. We will use this data exclusively for the purpose of recruiting for available positions in the QLEAP company. This data is provided voluntarily as a result of your desire to be part of the recruitment process for the position or positions available.

4.2 Sources of verification of personal data

Source of personal data. Some of the personal data processed is provided directly by you via the Quartz Matrix websites or by e-mail to Quartz Matrix addresses, and other information is obtained indirectly from third parties, such as recruitment agencies and public sources (e.g. LinkedIn, Trade Register, court portal, recruitment sites).

4.3. Retention of personal data

Your personal data is kept only as long as necessary to fulfill the purposes for which the respective information is processed.

We keep this data for the duration of the recruitment process, during which the data are kept under security and safety conditions that do not allow unauthorized access to them. After completing the recruitment process, we keep the data for a maximum period of 6 months.

  • The right to correct and complete your data – If the information about you is incorrect, we will correct it if you notify us.
  • The right to delete your data – Upon request, we will delete information related to your personal data that we hold.
  • However, certain data will only be deleted after a predetermined retention period has passed, for example, because we have an obligation to retain data in accordance with legal provisions in some cases, or because we need this data to fulfill our contractual obligations towards you.
  • The right to block your data – In certain legally established cases, we will block your data, if you ask us to do so. Blocked data is further processed only to a very small extent.
  • The right to withdraw your consent – You can withdraw your consent to the processing of your data at any time with effect in the future. The legality of the processing of your data will not be affected by this, until the time of withdrawal of your consent.
  • The right to object to the processing of your data – You can object to the processing of your data at any time, with effect in the future, if the processing by us of your data is based on one of the legal justifications set out in Article 6(1e or 1f) of Regulation (EU) 2016 /679. If you object to the processing of your data, we will stop processing your data, provided there are no legitimate grounds for further processing.
